GuestView Guide for Community Managers
Turn the visitor directory on, decide how it looks, and control access codes and short codes — all from the Nimbio Community Manager Dashboard.
For: Community Managers
As a community manager, you control every part of GuestView from community.nimbio.com: whether the directory is on, what it shows, who’s hidden from it, and how access codes work at each gate. This guide walks through each setting.
Turning GuestView on or off
Go to Community Manager → [Your Community] → Members and toggle Allow directory viewing. This one switch enables or disables the entire visitor directory for your community.
Heads up: disabling the directory deactivates every existing QR code and short link for the community, including any already printed or posted at the gate.
Choosing how the directory displays
Set a display mode for the whole community:
- ✓People only — a searchable list of resident names
- ✓Homes only — unit numbers or addresses
- ✓People and homes — a combined view
To exclude an individual account — staff, or a resident who requested privacy — toggle Hidden from Directory on that member’s profile.
Want the directory to say “Tenant” and “Unit” instead of “Resident” and “Home”? Set your own terms under Community Manager → [Your Community] → Settings → Terminology & Icons — optional, and your wording carries through your dashboard and your public GuestView directory alike.
What residents can control themselves
You can permit residents to opt out of the directory from their own mobile app, and to set a custom display name instead of the default “First Initial. Last Name” format — for example an apartment number or a nickname.
Managing links and QR codes (short codes)
Under Community Manager → [Your Community] → GuestView → Short Codes, create a custom code for each gate (e.g. “MAPLE”) or let Nimbio auto-generate one. Print the matching QR code directly from the dashboard and post it at the entrance.
Reassigning a short code to a different gate updates instantly — every printed QR code or link pointed at it redirects visitors to the new destination in real time, with nothing to reprint.
Setting up NFC tap-to-enter instead of a printed QR code? See the NFC setup guide →
Access codes and the audit log
Enable access codes and choose which gates accept them per property. As the manager, you can also create a code on behalf of a resident, and disable or delete any code at any time.
Every code use is written to the audit log — member, code, gate, timestamp, and result — so you always know who came through and when:
| Result | Meaning |
|---|---|
| Opened | Valid code — gate opened |
| Invalid Code | Code doesn’t match any active code |
| Expired | Code’s time window has passed |
| Not Yet Active | Code’s time window hasn’t started |
| Disabled | Code turned off by resident or manager |
| Rate Limited | Too many failed attempts — temporary lockout |

Letting visitors in with Number-Verified Access
Number-Verified Access — labeled “GuestView Entry” in your dashboard — lets a visitor with no key verify their own phone number and open an eligible gate directly — no call to a resident and no advance access code. It’s off by default and fully opt-in, configured entirely from your dashboard:
- ✓Community-wide switch — turn GuestView Entry on or off for the whole community under GuestView → directory settings
- ✓Per-gate eligibility — pick exactly which gates allow it from the eligible-gates checklist
- ✓Available Hours — add day/time windows per gate; outside them, the Number-Verified Access option simply doesn’t appear to visitors. A gate with no windows stays available any time
A visitor’s first successful entry needs no name on file; later entries ask for one so entries stay attributable. Scan-only gates additionally require the visitor to tap their phone at the gate’s NFC tag, so entry only works when someone is physically present.
Every attempt is also written to a dedicated Entry Log — filterable by Time, Phone, Name, Gate, Result, and Reason — so you can review every open, successful or not, separate from your access-code audit log above.
