What can I do from the Community Manager portal?

Approve or remove residents, control access gate by gate, and manage every key on your property — from your phone or a desktop browser.

Getting approved as an administrator

Before you can reach the Community Manager portal, Nimbio support has to grant your account administrative access.

Contact Nimbio tech support

Call 800-353-3422, ext. 2 and provide your credentials.

Once your details are verified, your account is granted administrative access.

Log in with your phone number

Open the app and tap the Admin tab, or log into the dashboard at community.nimbio.com with your phone number on a desktop or any web browser.

Getting to the Community Manager portal

Tap the Admin tab in the app, then tap the menu icon (the three lines, top left) to open the feature list — Members, Hold Opens, Access Logs, GuestView, Homes, Keys, Add Member, and more. (You can also log into community.nimbio.com on a desktop or any web browser.)

Tapping Admin doesn’t take you straight to a feature — it opens a screen titled “Nimbio Community Manager” with a collapsed menu. Tap the menu icon (☰) to reveal the full list before selecting anything.

What the portal lets you do

Approve, suspend, or revoke resident access — instantly, no physical key collection or fob reprogramming.

Review access logs — every gate open, key used, and timestamp, with self-service queries covering any 2-week window on demand. See Access Logs & Audit Trail for the full detail.

Group residents by building, floor, or address — see Home Grouping.

Configure hold-open schedules — e.g. open 8 AM–6 PM on weekdays. See Hold Open.

Manage multiple gates from one dashboard — each gate is controlled independently, but residents see every gate they have access to in a single app.

Control which residents have access to which gates — zone-based distribution lets you assign gate-level permissions per resident or per home.

Rename “Resident” and “Home” to match your property — under Settings › Terminology & Icons, pick your own terms (Tenant, Owner, Employee, Unit, Suite, Office, or a custom word) and an icon for each. Your choice shows up in the app, the portal, and the public GuestView directory.

Hide a resident from the public GuestView directory — from Members, select the resident and toggle “Hidden from Directory,” independent of the resident’s own Directory Preferences. See GuestView overview for detail.

Adding a member directly

Use this when you want to create a resident’s account yourself rather than waiting for them to request access.

Sign in and select your property

Tap the Admin tab, then the menu icon, then Add Member (or go to community.nimbio.com and sign in with your phone number, then choose the community you manage from your list).

Enter the resident’s phone number

Select the keys they should have, and set an optional move-out date if you already know when their access should end.

Tap “Create Account”

If the phone number already belongs to a member, you’ll see an error saying the account already exists. If the number was previously revoked, you’ll see guidance on rejoining that account. Otherwise, the person is added automatically as an accepted member.

Can more than one person manage the same property?

Yes. Multiple community managers can be assigned to the same property, each with their own login credentials. Role-based access lets you give staff the visibility they need without exposing every control.

Managing a property with multiple gates

Each gate gets its own Nimbio controller, managed independently from the portal. Custom gate assignments and gate grouping let you decide exactly who gets access to what.

Master Key

A resident’s own key, approved through the portal. Many smaller properties (2–3 gates) simply give every Master Key access to all gates.

Shared Keys

Digital keys residents share with others (Family, Doorbell, or Recurring). Residents can only share keys for the gate(s) they themselves reside behind.

Admin Keys

Grant the holder access to every gate on a multi-gate property. Mainly useful on larger properties, or ones that restrict individual residents to a subset of gates, where staff need full-property access an ordinary Master Key doesn’t provide.

Controlling how far a key can be re-shared

There are two separate controls, at two different levels.

Per-share toggle (resident-facing). Whoever is sharing a key decides, at that moment, whether the recipient can share it onward further.

Key share depth (Nimbio-support-configured). A separate, property-wide limit on how many times a key can be re-shared down a chain. This is set by Nimbio support on request — community managers have no self-service control over it. If a resident’s key unexpectedly loses its “Share” button, this limit is the likely reason; contact Nimbio support if that seems unintended for your property.

Turning off resident-to-resident sharing entirely

An admin-level switch can disable key sharing property-wide. When it’s off, every access request routes to the community manager instead — you’ll receive key requests, accept them, and manually assign the proper gate permissions.

Announcing Nimbio to your residents

Explain the new phone-based gate control, note that existing gate features still work, mention that guests no longer need the callbox — they can text the resident instead — and ask residents to search “Nimbio” in the iOS or Android app store and sign up using their real name and the exact community name so their account can be verified.

Frequently asked questions

Do I need an Admin Key if I only have a couple of gates? +

Usually not. Many properties with just 2–3 gates simply give every resident’s Master Key access to all of them. Admin Keys matter most for larger properties, or ones that restrict individual residents to a subset of gates.

Can I set how many times a resident’s key can be re-shared? +

The property-wide key share depth is configured by Nimbio support, not by community managers directly — contact support to request a change. Individual residents can still control whether the specific person they’re sharing with can re-share further, using the toggle on the sharing screen.

What happens if I turn off resident-to-resident key sharing? +

Every access request then routes to you as the community manager instead of resident-to-resident sharing. You’ll receive and accept key requests, then manually assign the correct gate permissions.
